QBSpecialist is an independent QuickBooks bookkeeping practice. This page describes, in plain language, what personal information we collect through this website, why we collect it, who we share it with, and how you can reach us about it. We keep the list of parties short on purpose — we only work with the services we actually need to run the site and respond to you.
What information we collect
We collect two kinds of information: what you choose to send us, and the basic technical records every website keeps.
When you fill in a contact or review-request form on this site, we ask for your name, your email address, an optional phone number, your QuickBooks version, and a one-line description of your situation. Those fields are the whole of it — we do not ask for, and this site does not collect, banking credentials, Social Security numbers, or payment-card details. You decide how much to put in the situation field, and the phone number is optional.
Separately, our hosting and edge provider keeps standard server and edge logs: the IP address a request came from, the browser's user-agent string, the pages requested, and timestamps. These are the ordinary records a web server and a content-delivery network generate to serve pages and block abuse. We do not combine them with form submissions to build a profile of you.
The website's fonts are self-hosted. We do not load Google Fonts or any third-party font CDN, so simply reading a page does not hand your visit to a font network.
How we use your information
We use what you send us to reply to you and, if you decide to hire us, to carry out the work you have asked for.
A form submission is used to answer your question, prepare a free review, or scope a quote — nothing more. If you go on to engage us, the same details help us do the bookkeeping we have agreed to. We do not sell your information, we do not rent it, and we do not use it to send marketing you did not ask for. Technical logs are used to operate and secure the site: serving pages, diagnosing errors, and mitigating abusive traffic.
Third parties and where your data goes
We rely on a small set of named providers to run the site and receive your messages. Each one is listed below with the role it plays.
- Cloudflare — hosting, content-delivery edge, and DNS for this website. Page requests and the standard server and edge logs described above pass through Cloudflare's network.
- Google Workspace — when the site's contact form is connected, submissions are handled by a Google Apps Script endpoint and recorded in a Google Sheets log. From there, a notification is delivered to our internal intake inbox so a specialist can respond. Current status: the web form endpoint is not yet connected, so forms on this site render but do not transmit data. Until it is connected, the way to reach us is the email address below.
- Google Analytics 4 — when enabled, this measures aggregate site usage so we can understand which pages are useful. Current status: analytics is not active on this site. When we turn it on, we will update this policy first.
- Intuit QuickBooks Online — used only when you become a client and grant us accountant-role access to your own company file to do the work. Web-form visitors are never added to any QuickBooks file; this access exists only for engaged clients who have invited us.
We may also verify ownership of this site with Google Search Console and Bing Webmaster Tools. Those tools report aggregate search performance to us and do not receive the contents of your form submissions.
Data retention
We keep the information you send for as long as we need it to answer you and, if you engage us, for the duration of that work plus a reasonable period afterward for our records. Standard server and edge logs are short-lived operational records held by our hosting provider and are not kept indefinitely by us. If you would like us to delete a message you sent, ask us using the contact details below and we will remove it from our records where we are not required to retain it.
How we protect your data
We take the least access a job needs, do not store banking passwords, and remove client access when the work ends. The site is served over encrypted connections, and the providers above are established platforms with their own security programs. Our broader security posture — how we handle access, what we will and will not ask you for, and how we work inside your file — is written out on our security page.
Your choices and rights
You are in control of what you share with us. You can decline to fill in optional fields, ask us what information we hold about you, ask us to correct it, or ask us to delete it. Because we do not run advertising trackers and do not sell data, there is no data sale for you to opt out of. To exercise any of these choices, email us at the address below and tell us what you would like.
Under review: formal statements of specific statutory privacy rights (for example, state-level rights that may apply depending on where you live) are pending attorney review before we publish them here. We would rather leave this line honest and incomplete than assert a compliance claim we have not had reviewed. In the meantime, the practical choices above are available to you on request.
Contact us
Questions about this policy, or a request about your information, can be sent to info@qbspecialist.com. This is the only email address we publish for privacy questions. Your use of this site is also governed by our terms. If we make a material change to how we handle your information, we will update this page and revise the "last reviewed" date at the top.
